Application and selection process
The European Medicines Agency (EMA) conducts robust and fair selection procedures so that it can recruit the best available candidates. The Agency advertises its vacancies and processes applications through its Jobs@EMA portal. EMA provides guidance to prospective candidates on how to apply through the portal and the selection process.
EMA recruits temporary and contract agents mainly though its own recruitment processes, which are independent and separate from other European Union (EU) institutions and agencies. However, EMA may sometimes recruit temporary or contract agents from the reserve lists drawn up by the European Personnel Selection Office.

To be eligible to apply for a selection procedure at EMA, you must:
- be a national of a Member State of the EU or of Iceland, Liechtenstein or Norway, on condition that you have full rights as a citizen;
- have fulfilled any obligations imposed on you by the laws concerning military service in your country;
- meet the character requirements for the duties involved;
- have a good command of English as it is the official working language of the Agency, and a thorough knowledge of one of the other official languages of the EU. For reference, see the Common European Framework of Reference for Languages .
You must also meet the essential requirements for admission regarding qualifications and professional experience set out in the relevant vacancy notice. These requirements vary according to the position.
There is no national quota system in operation but the Staff Regulations require the Agency to strive for a broad balance among nationalities.
|How to apply|
You can search our current vacancies at EMA's Jobs@EMA portal. EMA advises that prospective candidates check the portal for vacancy notices or create an alert to receive vacancy notifications by email. You can also create a candidate profile at any time, which can be used to pre-fill any future applications.
If you find a position you are interested in, you can apply for the job using the portal. Make sure you fulfil the eligibility criteria in the vacancy notice, including the essential requirements for admission. If you don't meet the requirements, EMA cannot progress your application.
Make sure you complete your candidate profile and application form as fully as possible and submit your application by the deadline. You can change information in your application until the deadline.
You can log into the candidate portal to track the progress of your applications at any time. EMA also recommends you regularly check your inbox and spam folder, as we communicate with candidates via email.
An online application through the portal is the only acceptable way of applying for a position at EMA.

The Agency establishes a selection committee for each vacancy notice. After the closing date, this committee goes through the applications and decides which candidates to invite for an interview and a test.
EMA conducts interviews in English, its official working language. If English is your native language, you will also be interviewed in your second EU language.
If you are invited for an interview, you need to upload to your candidate profile originals or certified copies of all diplomas and certificates relating to your education and professional experience by the date of the interview.
The selection committee will draw up a reserve list of successful candidates who have passed the interview and test. EMA may offer the advertised job to one or more candidates while the reserve list is valid. EMA may also use the reserve list to recruit for a similar post if one becomes available.
Being on a reserve list does not guarantee a job offer or imply any entitlement to employment at EMA, but the Agency will consider your profile when it is looking to fill new vacancies in your field. No action is required on your part unless EMA contacts you.
Reserve lists are valid for a limited period of time. If EMA puts you on a reserve list, it also informs you how long it remains valid. EMA may extend the validity of the list, based on its needs.

Before EMA makes a firm job offer to a candidate on the reserve list, they need to undergo a medical examination to make sure that they meet the standard of physical fitness required.
EMA respects the privacy of its candidates for recruitment and processes applicants' personal data as required by Regulation (EC) No 45/2001. This applies particularly to the confidentiality and security of such data.

EMA provides a flat-rate contribution towards travel and subsistence expenses.
The rate is based on linear distance in kilometres between the place of the candidate's residence or employment and the place where the selection procedure or medical examination as part of the selection procedure takes place.
Candidates may also be eligible for an accommodation allowance if the distance is more than 150 kilometres.
